2. Purpose

This website provides information about Hecate AI Agency's automation services for small and medium sized businesses. It does not process online payments or store customer data beyond what is submitted through the contact form, which is used solely to respond to enquiries.

3. Intellectual property

The content, design and branding of this website belong to Zeljko Deban, trading as Hecate AI Agency, unless otherwise stated. Reproduction or distribution without prior written consent is not permitted.

4. Data protection

Information submitted through the contact form is used only to respond to your enquiry and is not shared with third parties.

Hecate AI Agency also offers a WhatsApp assistant on +34 635 572 506. This assistant collects the WhatsApp number of the person messaging, the content of the conversation, and any information volunteered during it, such as their name, email address, service of interest, a summary of their enquiry, and their answer to a question about repetitive tasks in their business. If a meeting is booked, the date, time and email address associated with that booking are also collected.

The website also includes an AI chat assistant, in the bottom corner of the page. It collects the content of the conversation and any information volunteered during it, such as your name, email address or WhatsApp number, the service you are interested in, and a summary of your enquiry.

Hecate AI Agency is also using an AI Voice Receptionist, reachable at a dedicated phone number. During a call, it collects the caller's phone number, an audio recording of the call, a transcript of the conversation, and any information volunteered during it, such as their name, email address, the service they are interested in, and a summary of their enquiry. At this stage it does not transfer the call to a person, it produces an internal summary for Zeljko Deban describing who called, what they needed, and how urgent the request is.

This data is used to respond to enquiries, follow up with prospective clients, and arrange a meeting with Zeljko Deban. It is stored in a self-hosted database and automation platform operated by Hecate AI Agency. To generate their replies, the WhatsApp assistant and the website chat assistant send the conversation to OpenAI, L.L.C. (United States), which processes it under its own data processing terms and does not use it to train its models; this involves a transfer of data outside the European Economic Area, safeguarded by OpenAI's EU Standard Contractual Clauses. The AI Voice Receptionist's call recordings, transcripts and caller details are processed and stored by Retell AI, Inc. (United States), which also relies on third-party AI model providers to generate its responses; this similarly involves a transfer of data outside the European Economic Area, safeguarded by Retell AI's Standard Contractual Clauses. Beyond OpenAI and Retell AI, this data is not shared with third parties except the email delivery provider used to send notifications and booking confirmations, and, when a meeting is booked, IONOS, whose calendar hosts the event details (the customer's name, topic and WhatsApp number).

You may exercise the same rights of access, correction or deletion described above by writing to zack@hecateai.agency, by asking directly in the WhatsApp conversation, via the website chat assistant, or by asking during a call with the AI Voice Receptionist.

5. Terms of Service

The WhatsApp assistant is an automated tool that provides general information about Hecate AI Agency's services. It is not a substitute for a direct conversation with Zeljko Deban.

The assistant does not provide pricing; this is always confirmed directly by Zeljko Deban.

Any booking made through the assistant is provisional until confirmed by the accompanying confirmation email.

The service is provided as-is, for informational and lead-qualification purposes, on +34 635 572 506, operated by Zeljko Deban under the trading name Hecate AI Agency.

6. Data deletion

Anyone can request deletion of their data — WhatsApp or website chat conversation records, AI Voice Receptionist call recordings and transcripts, contact details, or booking information — at any time, either by sending the request directly via WhatsApp to the number above, via the website chat assistant, during a call with the AI Voice Receptionist, or by emailing zack@hecateai.agency. The request will be processed within a few business days.

7. Automation with Google Drive, Google Docs and OpenAI

Hecate AI Agency uses n8n to access selected files from its own Google Drive account and create documents in Google Docs, following account authorisation via Google OAuth.

Selected content is sent to the OpenAI API for analysis and content generation within these automations. These workflows are intended for the business's own working documents and not for processing client personal data.

Data obtained through Google's APIs is not used to develop, improve or train general purpose artificial intelligence models. OpenAI does not use data sent to its API to train its models by default. Retention depends on the service used and the account configuration.

Access can be revoked from the Google account. For enquiries or requests to delete data processed by these automations, you can write to zack@hecateai.agency.
